The Local Government is seeking proposals from qualified Proponents to design, supply, install, and commission a modernized Audio Visual (AV) and Video Conferencing System for the Council Chamber. This upgrade aims to enhance the quality, reliability, and functionality of council meetings, hybrid participation, public transparency, and multilingual accessibility.
The existing system includes legacy audio conference units, interpreter stations, PTZ cameras, and AV distribution components that require replacement or reconfiguration. The new system must deliver high quality audio and video, support hybrid meetings with remote participants and seamless integration for in room and remote participants, enable voting functionality, and incorporate multilingual support, including French translation.
Key components anticipated in the upgraded solution include modern Televic or pre-approved equivalent multimedia conferencing units, updated professional grade PTZ cameras, integrated control and camera automation, and improved AV to USB and networked audio and video capabilities.
Proponents are expected to review the detailed requirements, refine the preliminary design concepts, and propose a complete, fully integrated solution that addresses the City's operational needs, technical standards, and long term serviceability objectives.
The anticipated budget to design, supply, install, and commission the services outlined in this Request for Proposal is $250,000. For clarity, this budget applies to the design, supply installation and commissioning services only; ongoing support and maintenance services are required but are not included in the stated budget.
