• Detailed_Description : The RFB seeks to establish a multi-vendor, mandatory-use, enterprise-wide Vendor of Record (VOR) arrangement for Enterprise Information Management (EIM) products and services, aimed at supporting the digital transformation and enhancing the operational efficiency of government operations.The VOR will offer a comprehensive range of EIM products and services to both OPS and non-OPS clients across the Province of Ontario. These services will include, but are not limited to, content management, records management, electronic signature, file intelligence, information governance solutions, and associated professional services. Clients will be able to access the EIM VOR on an “as and when required” basis through a subsequent second-stage selection process.
  Scope of Work : Proponents are invited to submit proposals for the provision of Enterprise Information Management (EIM) products and services across the following four (4) categories:Category 1: Records Management, Document Management, User Management, Maintenance & Technical Support, Digitization, Data Capture & Optical Character Recognition (OCR)This includes the provision of core EIM solutions that facilitate the management of documents, records, and user access, along with the related technical support, maintenance, and digitization services.Category 2: Electronic SignatureThis category covers the provision of electronic signature solutions to support the secure and efficient execution of digital transactions across OPS and non-OPS entities.Category 3: Intelligent Content Services/File IntelligenceProponents are expected to provide solutions that offer intelligent content services and file intelligence capabilities, enabling advanced data management, analytics, and decision-making.Category 4: Professional ServicesThis includes services such as:a.Application integrationb.Installation, Implementation and Configuration (II&C) c.Annual or Subscription based Maintenance & Technical Supporte.Training including change management tools and materialsProponents may submit proposals for one or more categories, and each category will be evaluated and awarded separately, allowing for flexibility in vendor selection.The term of the Vendor of Record (VOR) arrangement will be for a period of three (3) years, with the option to extend for one additional three (3)-year term and one further two (2)-year term, for a potential total duration of eight (8) years (3+3+2).During the term of the VOR arrangement, Supply Ontario reserves the right to issue one or more Refresh RFBs to invite new proposals to add additional suppliers under the VOR arrangement. The issuance of any Refresh RFBs will be at the sole discretion of Supply Ontario.
