1.1.1 InvitationThis Request for Proposals (the “RFP”) is an invitation by the Regional Municipality of Niagara (“Niagara Region”) to prospective proponents to submit proposals for Electronic & Physical Document / Records Management Solution for Niagara Regional Police Services, as further described in Section A of the RFP Particulars (Appendix B) (the “Deliverables”).
1.1.1.1 IntroductionThe NRPS is looking for an Electronic & Physical Document / Records Management Solution (EPD/RMS) to integrate many of the departments/divisions documents into one consolidated solution for approximately 1,300 active users across 70 business units to continually update, archive and access. Many of these documents are critical records that, by regulatory mandate and industry best practices, need to be controlled via a records lifecycle process.
The NRPS needs to store and manage additional content with the new EPD/RMS including but not limited to photos, videos, audio and engineering plans/drawings. The Solution will provide seamless integration with Microsoft SharePoint (online and on-premise) and Microsoft 365, as well as manage physical records.
The Solution provider will implement a technology solution, recommend business processes and provide training, project management services and post-implementation support.
